Position Summary
The Office Assistant / Sales Support role is a hybrid position responsible for overseeing the day-to-day office operations while providing essential support to the sales team. This role requires a proactive, detail-oriented individual capable of multitasking in a fast-paced environment. You will act as the communication hub between departments, clients, and outside vendors, ensuring smooth workflow and optimized operations.
Key Responsibilities
Administrative Support
- Greet and assist visitors with professionalism and warmth.
- Answer and direct phone calls, take messages, and provide backup customer service.
- Perform general office duties such as ordering supplies, managing vendor relationships, and maintaining organized office environments.
- Maintain and update various logs and records (e.g., phone lists, maintenance logs, OSHA Chemical logs).
- Coordinate company events, staff birthdays, and holiday celebrations.
- Prepare and send mailings (e.g., holiday cards).
- Manage office machines and supply inventory.
Sales Support
- Submit and track sample requests (Domestic and International).
- Compile, maintain, and distribute weekly, monthly, and quarterly sales reports.
- Maintain customer information and sales databases.
- Track Non-Disclosure Agreements (NDAs) and coordinate travel/hotel arrangements for the sales team.
- Ensure sales teams are equipped with materials, supplies, and updated documentation.
- Prepare and update application notes, datasheets, and marketing materials.
Reporting & Analysis
- Prepare and verify monthly sales reports in Excel for multiple sales representatives.
- Generate business unit reports comparing sales to budget and prior year performance.
- Create mid-year and end-of-year reports analyzing growth by product number, end-users, and distributors.
Event & Tradeshow Coordination
- Coordinate logistics for tradeshows including booth registration, shipping, housing, and promotional materials.
- Oversee booth maintenance and equipment tracking.
HR & Onboarding
- Assist with onboarding new hires including orientation, documentation, and employee packets.
- Maintain up-to-date digital HR files and documentation.
- Support coordination with temp agencies and manage timesheet reporting.
Legal & Compliance
- Track and maintain records of company patents and trademarks.
- Assist in invoice preparation, document generation, and daily order accuracy checks.
Required Qualifications
- High School Diploma or equivalent; Associate’s degree or administrative certification preferred.
- 2+ years of administrative or office support experience.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Familiarity with basic IT functions, including network support and data backup protocols.
